Don't hesitate to use makeshift solutions for notation. For example, why not simulate the missing checkmark symbol with the humble character 'v' ? Or simulate the entwined rings symbolizing partnerships simply with the double letter: 'oo'.

For short excerpts or labels, if I use paraphrasing more rarely than verbatim, I put the paraphrase in brackets; otherwise I put the verbatim in quotes.

If a paragraph contains two related concepts I often choose the one which seems to be more important, more typical, more general or more far-reaching when I need a short excerpt.or a short label. This sometimes takes some thought but it is well invested.
